Description
The Editorial Assistant will provide a high level of administrative and editorial support to the press director, associate director, and managing editor in a dynamic book publishing office. He or she will also coordinate digital content for the press, including ebook editorial duties, database management, and website content management, and will assist with the development of other digital initiatives.

Primary responsibilities
• Administrative tasks (phones, mail coordination, correspondence, filing, photocopying, and scanning documents for archiving)
• Database input, customization, and report processing
• Track manuscripts through acquisitions process (recording submissions, soliciting and follow-up on peer reviews, corresponding with authors, photocopying, and mailing manuscripts)
• Coordinate contract processes for print and ebooks
• Register copyright for all new books
• Manage individual book data by keeping data updated within the in-house database and schedules, online sales databases, and press website
• Manage workflow of trade books into ebook editions
• Handle scheduling and travel arrangements for director
• Handle scheduling, invitations, travel, and logistics for press events
• Prepare blurb solicitation letters, finished book letters, and mailings
• Handle functions related to editorial board meetings (writing board reports, scheduling, assembling meeting materials, taking minutes)
• Assist with proofreading press materials
• Assist with permissions issues, payments, and logs
• Assist with preparation of catalogs and other book-related materials
• Assist with book sales events
• Assist with copywriting for brochures, website, grants, and correspondence
• Editorial/research projects on an ad-hoc basis
• Cooperate and collaborate with other employees in the spirit of teamwork and collegiality
• Comply with all Trinity University policies and guidelines

Candidates must have a Bachelor’s degree and 1 to 2 years of related experience. Strong organization, time management, and analytical skills. Excellent written and oral communication and proofreading skills. Must be resourceful, with a “can-do” attitude, and must be able to deliver efficient solutions and actions, often within shifting priorities and time frames. Must have proficiency in Word, Gmail, and Excel, as well as experience with database systems. Assist with books sales and press events, regularly involving evening and weekend work. Ability to lift up to 40 pounds on a regular basis. Experience in book publishing preferred.
